ASCD Empower19

The Association for Supervision and Curriculum Development (ASCD) is a community of over 113,000 teaching professionals sharing the same goal – ensuring the success of every child. McVeigh Global partners with ASCD to produce three distinctive, yearly events. The largest, Empower, brought together 8,000 educators.

MGME worked closely with the venue’s chef to create delicious custom menus. We standardized the selection and removed some items in order to keep costs down. Aggressively negotiating venue prices on certain items and purchasing directly from the headquarters hotel, we saved ASCD $20K on over 800 boxed lunches, alone.

McVeigh Global maintained the client’s original budget while creating a cushion for onsite changes.

Maximizing the F&B Budget
(...or Blood from a Turnip)

Event Budget, Food & Beverage

 Problem

Relocating the annual Empower19 event from Boston to Chicago, ASCD saw an increase in F&B costs. How could they maintain the previous year’s budget without reducing the necessary food service functions?

 Solution

Creating custom menus and aggressively negotiating prices, MGME reduced F&B cots by over $100,000 without affecting the quality of attendee experience.

Moving the event to Chicago increased costs. To make sure all necessary F&B functions were provided, MGME worked closely with the venue chef to create delicious custom menus. We standardized the selection and removed some items in order to keep costs down. Aggressively negotiating venue prices on certain items and purchasing directly from the headquarters hotel, we saved ASCD $20K on over 800 boxed lunches, alone.

On-Site Registration Salvation

Registration, Logistics

 Problem

More than 50% of Empower attendees register the morning of the main conference. ASCD needed to check-in 5000 attendees and make sure no one was late for their first session.

 Solution

Utilizing MGME’s automated, onsite registration & check-in process, Empower attendees wait time never exceeded 4 minutes.

The majority of attendees register on the first morning of the event. In years past, long registration lines resulted in attendees arriving late for their first session. MGME devised a crowd control plan that considered directional signage, staff quantity, and the orientation of registration kiosks within the venue. Combined with MGME’s automated, registration and self check-in process, that utilizes Cvent barcode scanning and badge printing, attendee wait time never exceeded 4 minutes, allowing On-site registrants to reach their sessions on time.

Reducing on-site check-in time improved overall show operations and attendee experience.

Tailored Attendee Experience

Program Development, Session Management

 Problem

The variety of professionals found in ASCD’s membership requires a diverse educational curriculum. How could ASCD tailor its program for all attendees?

 Solution

MGME helped ASCD develop a diverse program consisting of 400 concurrent sessions allowing 8000 educators to personalize their learning experience.

MGME supported the ASCD Director of Programming in the creation of a dynamic program that allowed educators to customize their event curriculum based upon their professional needs. Our staff identified, booked and coordinated over (Insert number) speakers in the educational field. The conference included over 400 concurrent education sessions, multiple high-profile general session speakers and 3 days of pre-conference learning sessions and events. Attendees searched and selected sessions through the event App (Double Dutch, CrowdCompass?).

Providing an array of educational options and the tools to manage their sessions, Empower attendees customized their event experience to maximize educational opportunities.
